A useful school sponsorship package tells a local business exactly what it receives, where its advertising appears, how long the agreement lasts and how results will be reported. Start with approved placements your team can deliver, then group them into offers that make sense for the sponsor.
This guide covers school athletics, booster clubs, campus advertising and events. The examples are planning ideas, not actual Vivid customer results or market-rate pricing.
Start with an inventory of approved opportunities
List each available placement separately: a stadium fence sign, gym banner, event program ad, campus display or approved newsletter placement. Record the location, dimensions, production requirements, dates, responsible staff member and current availability. Confirm school approval before offering a placement to a business.
Keep available, pending and sold inventory distinct. If a stadium sign is included in a package, reserve that exact sign when the package is committed so it is not sold twice. See how sponsorship management software connects opportunities to sponsors and agreements.
Three school sponsorship package examples
1. Single-placement sponsor
Offer one identified gym banner for a defined season. Specify its dimensions, placement, installation and removal dates, and who supplies and pays for the artwork and printing. This gives a business a clear starting point without bundling unrelated benefits.
2. Athletics season partner
Combine a stadium sign with an approved game-program ad for named home events. State the number of program issues, ad size and exact season. If a sponsor appears at both football and soccer games, spell out which events are included rather than describing the package as unlimited exposure.
3. Campus and event partner
Combine a campus placement with recognition at a named school event and an approved digital placement. List each component, its dates and the staff member responsible for delivery. Offer category exclusivity only when the school has approved it and can honor it across the included inventory.
How to set sponsorship prices
Build a price from the actual scope: duration, placement visibility, event schedule, production costs, fulfillment effort and any exclusivity. Compare with documented local offers where available and test whether businesses understand the value. A larger package should explain the additional benefits, not simply use a more impressive tier name.
Illustrative arithmetic: six placements priced at $1,000 each would represent $6,000 in potential gross sponsorship revenue if all six sell. That is a scenario, not a recommended price or a sales forecast. Deduct printing, installation and other delivery costs to estimate what the school retains.
Separate audience estimates from measured responses. Enrollment and event attendance may help describe the community, but neither guarantees that every person saw an advertisement or became a customer.
A package outline you can copy
- Package name and purpose: the program supported and the business audience it reaches.
- Included inventory: named placements, dimensions, quantities and locations.
- Term: start and end dates, included events and any seasonal limitations.
- Price: sponsorship fee, production charges and payment schedule.
- Creative: artwork requirements, approval process and submission deadline.
- Delivery: installation owner and how placement will be documented.
- Reporting: which engagement or conversion metrics are actually available.
- Renewal: review date, contact and process for the next term.
Make sponsor reporting part of the offer
Document that the agreed placement ran, then report the response you can verify. A distinct QR code can connect a sign to recorded scans. Website actions and purchases require compatible tracking and validation; a scan alone is not a sale. Read the offline attribution guide for the measurement chain.
Keep the school's sponsorship fees separate from the business's attributed sales. Both are useful, but they answer different questions. At renewal, review what was delivered, what was measured and what could improve next season.
